In order for books to be found during a search in the circulation system and located on the shelves, they must be cataloged with a MARC record and processed with the appropriate labels and stamps.
Books From Other Sources
When books do not come from Follett or Bound to Stay Bound, send them to the Media Processing Center. If more than one book is being sent, attach a T-REQ Materials for Processing form to the box of books.
- When ordering from Follett and Bound to Stay Bound, which are the approved vendors in the district, make sure cataloging and processing are done by them. These vendors are the only ones that have the district's information and know how the district wants materials processed.
- When an order arrives from the vendors, wait until an email has been sent from the Media Processing Center that confirms the MARC records have been added to the circulation system before putting the books on the shelves for check out.
- When receiving an order from Bound to Stay Bound, an ownership label will need to be added. The librarian can print his or her own label or use a stamp on the title page.

When books are not processed from a vendor or the processing center follow the steps below.

- Add the barcode.
- Write the barcode number on the title page.
- Add the ownership label or stamp to the title page.
- Write the school number on the last page.
- Attach the spine label.
- Cover the book.
- Add security device, if neccessary.
- Enter the item and information into the circulation system.
Making Original Records
Sometimes the librarian needs to make original MARC records or edit them.

- Original MARC records will be made using BestMarc.
- The Library of Congress records and the information in the book should be used to fill out the MARC record.
- If the Library of Congress does not have a record for an item, the local public library catalog should be checked for a record.
- RDA standards will be followed.
- Call numbers should follow the existing system in place.
- Field 658 should be filled out for the learning standard.
- Field 690 should be filled out for connections to subject units taught by teachers in the building.
